POSITION SUMMARY:
Greets visitors, receives incoming telephone calls and fax transmissions. Transfers calls appropriately. Provides clerical support and assists with projects as delegated.
QUALIFICATIONS:
- High school graduate.
- Previous office experience, preferably in health care.
- Knowledge of medical terminology/general medical background desirable.
- Excellent telephone skills and interpersonal skills.
- Typing/word processing ability of at least 40 words per minute.
- Speak, read, write and comprehend English.
ESSENTIAL FUNCTIONS/AREAS OF ACCOUNTABILITY:
- Greets all visitors and directs them to the appropriate person.
- Answers all incoming calls in a pleasant and proper manner and directs them to the appropriate person or department.
- Opens mail and distributes it to the appropriate person or area. Assists with filing of correspondence or clinical documentation as requested.
- Prepares letters and other correspondence as directed. Assembles mailings and sends them in a timely manner.
- Responds to inquiry calls from applicants or potential clients:
a. Directs calls.
b. Schedules interviews as directed.
c. Prepares admission packets and new applicant packets.
d. Mails information to prospective clients, referral sources and community organizations per request. - Performs job in compliance with agency policies and procedures and professional and community standards:
a. Maintains client, employee and agency confidentiality in all aspects of the job.
b. Protects confidential documents in a manner that prevents unauthorized access.
c. Shares information appropriately and timely in accordance with agency policy.
d. Reports all client concerns to the Clinical Supervisor immediately. - Performs additional duties and responsibilities as deemed necessary.
